What to Expect
Eligibility Requirements
Before beginning an application, organizations should carefully review the Foundation’s eligibility requirements and funding guidelines.
Among other requirements, an applicant must:
Meeting these requirements allows an organization to be considered for funding but does not guarantee that an application will be approved or that a grant will be awarded.
Eligibility Quiz
After registering or logging in to the Foundant portal, each applicant must complete an online eligibility quiz before accessing the grant application.
The quiz is designed to determine whether the organization and proposed program satisfy the Foundation’s basic eligibility requirements.
Applicants whose responses meet the requirements will be given access to the grant application. Applicants who do not meet one or more requirements will not be able to proceed to the application.
Passing the eligibility quiz does not constitute approval of the organization or its proposed request. All submitted applications remain subject to a complete review by the Foundation.
Applicants should answer every eligibility question carefully and accurately. Providing incorrect or incomplete information may result in the application being declined or an award being withdrawn.
Application and Review Process
Reviewing the Funding Guidelines
Before registering, please review:
- Who is eligible to apply
- The geographic area served by the Foundation
- Our Areas of Focus
- What the Foundation does and does not fund
- Current application dates and deadlines
- Required supporting documents
Organizations should determine that both the organization and the proposed project meet the Foundation’s requirements before beginning the online process.
Register or Log In
Applications are managed through the Foundation’s secure online grant system provided by Foundant Technologies.
New applicants must select Create New Account and provide the requested information about the applicant and the organization.
Returning applicants should use their existing account. Please do not create a second account if someone from your organization has previously registered. Contact us at grants@frcharities.org if you are uncertain whether your organization already has an account.
Complete the Eligibility Quiz
After logging in, select Apply and then Check Eligibility.
Complete all required questions and submit the eligibility quiz. Applicants who meet the Foundation’s preliminary requirements will be able to access the grant application.
Applicants may save an incomplete eligibility quiz and return to it later, but the quiz must be submitted before the application can be started.
Complete the Grant Application
If your organization is determined to be eligible, select Apply to begin the grant application.
Complete all required sections and upload the requested documents. Applications may be saved in draft form and completed over more than one session.
Applicants are encouraged to begin well before the deadline so there is sufficient time to collect documents, answer all questions and address any technical issues.
Review and Submit
Before submitting:
- Confirm that every required question has been answered.
- Review the project description, budget and requested amount.
- Verify that all required attachments have been uploaded.
- Confirm that contact information is current.
- Retain a copy of the completed application for your records.
An application is not complete until the applicant selects Submit and receives confirmation through the Foundant system.
Draft applications that have not been submitted by the deadline will not be considered.
Foundation Review
Submitted applications are reviewed by members of the Foundation’s Grants Committee.
As part of its review, the Grants Committee may:
- Request clarification or additional information.
- Review the organization’s financial and governance information.
- Evaluate the proposed project budget and expected outcomes.
- Conduct a telephone or video conference.
- Arrange a site visit.
- Contact organizational representatives or references.
Applicants are expected to respond promptly to requests for additional information.
Recommendation and Board Decision
After completing its review, the Grants Committee will determine which applications it recommends to the Foundation’s Board of Directors for consideration.
The Board of Directors has final authority over all grant decisions, including whether a grant will be awarded and the amount of any award.
An application may meet the Foundation’s requirements and still not be selected because of available funds, the number of qualified requests, Foundation priorities or other considerations.
How Applications Are Evaluated
The Foundation gives particular consideration to the following:
Community Need
The seriousness of the need being addressed and the importance of the proposed service to residents of Northern Palm Beach County.
Program Strength
Whether the proposed project is clearly defined, thoughtfully designed and supported by a realistic implementation plan.
Organizational Capacity
The organization’s experience, leadership, financial condition and demonstrated ability to carry out the proposed project successfully.
Community Benefit
The number of people expected to benefit, the significance of that benefit and the degree to which the project will improve lives within the Foundation’s service area.
Measurable Results
Whether the application establishes clear objectives and identifies practical methods for measuring and reporting the project’s results.
Project Budget
Whether the proposed expenses are reasonable, adequately explained and directly related to the project.
Other Financial Support
Whether the project has additional sources of funding and demonstrates appropriate support from the organization’s Board, donors or community partners.
Notification and Grant Awards
All applicants will be notified electronically after the Foundation has completed its review and decision-making process.
Applicants may be notified that:
- Their request will not move forward for funding consideration;
- Their request has been approved; or
- Their request has been approved for an amount different from the amount requested.
The amount awarded may be less than the amount requested. Grant amounts depend upon available Foundation resources, annual fundraising results, competing community needs and the Board’s assessment of each application.
There is no guarantee that an eligible organization or previously funded organization will receive a grant in a future year.
Responsibilities of Grant Recipients
Grant funds must be used for the approved purpose unless the Foundation provides advance written authorization for a change.
Recipients will also be required to submit a Grant Accountability Report explaining:
- How the grant funds were used;
- The progress made toward the stated objectives;
- The number of individuals served;
- The results or outcomes achieved;
- Any significant changes or challenges encountered; and
- Any remaining or unused grant funds.
Failure to submit a required report may affect the organization’s eligibility for future funding.
